This privacy policy sets out how Line Systems uses and protects any information you provide us when using our website (www.linesystems.io).

Line Systems is committed to ensuring your privacy is protected. The use of our website is possible based on processing an absolute minimum of personal data. Should we ask you to provide any information by which you can be identified when using our website, it will only be used in accordance with this privacy statement. Processing such information is governed by the requirements of Regulation (EU) 2016/679 (hereinafter referred to as “GDPR”) and applicable national data protection regulations. With this data protection statement, we inform the website user and data controller, on the type of personal data collected, the source of their collection, the reason for their collection and processing, any recipients thereof, the time of their retention, their transmission outside the EU, data subject rights and how they can be exercised.

1. Definitions

This data protection statement is aligned with GDPR terminologies as follows:

  • Personal information means any information relating to an identified or identifiable natural person (“data subject”). An identifiable natural person is anyone who can be identified, directly or indirectly, by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the identity of that natural person.
  • Data subject is any identified or identifiable natural person, whose personal data is processed by the controller responsible for the processing.
  • Processing is any operation or set of operations which is performed on personal data or on sets of personal data, whether or not by automated means, such as collection, recording, organisation, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction.
  • Recipient is a natural or legal person, public agency or another body, to which the personal data are disclosed, whether a third party or not. Public authorities which may receive personal data in the framework of a lawful inquiry shall not be regarded as recipients.
  • Third party is a natural or legal person, public authority, agency or body other than the data subject, controller, processor and persons who, under the direct authority of the controller or processor, are authorized to process personal data.
  • Controller is the natural or legal person, public authority, agency or other body which, alone or jointly with others, determines the purposes and means of the processing of personal data.
  • Processor is a natural or legal person, public authority, agency or other body which processes personal data on behalf of the controller.
  • Consent of the data subject is any freely given, specific, informed and unambiguous indication of the wishes by which he or she, by a statement or by a clear affirmative action, signifies agreement to the processing of personal data relating to him or her.

2. Data controller information

This website is owned and administered by the company Line Systems ApS, with its registered seat in Bredgade 45C, DK-1260 København K in Denmark. You can reach out to us by contacting us via email at hi@linesystems.io. We act as data controller when we decide about the parameters of data collection and processing from using our website or contacting us.

3. Collection of personal information and purpose of processing

All personal information processed by us is provided directly by the website user for the purpose of visiting the website or for contacting our company. The website collects various user information when a person or automated system calls up the website. Such information includes:

  • The internet protocol (IP) address
  • The date and time of access to our website
  • The operating system (OS) used by the accessing system
  • The internet service provider of the accessing system
  • The browser types and versions used
  • The website from where a user reaches our website (so-called referrers)
  • Any similar data that may be used in the event of attacks on our systems.

We use this information solely for the purpose of providing our website content and for responding to any inquiries we receive. Aggregated and anonymised data may be used for ensuring the maintenance of stability, integrity and IT-security of our systems. Such anonymised information is stored separately from personal information provided.

We do not retrieve any data about website visitors from business partner companies or public sources following Art. 14 GDPR. Our website does not use cookies or any other tracking software. We do not perform automated decision-making or profiling as part of our data processing.

4. Legal basis for data processing

When providing our website, the legal basis for the necessary processing of any personal information is our legitimate interest to provide a technically functional and responsive website in accordance with Art. 6 (1) (f) GDPR. When you submit an inquiry and contact us, the lawful basis we rely on for processing your information is your consent under Art. 6 (1) (a) GDPR.

5. Recipients of personal information

We may engage third parties as sub-processors of your personal data, providing us for example with technical support. Sub-processing agreements are based on strict GDPR provisions relating to the confidentiality and the protection of your personal data. We may also share your personal information with public authorities to comply with applicable laws and regulations, to respond to lawful requests or to protect our legal rights. Your personal information is never shared for the use of advertising. For any transfer of personal data to countries outside the EU/EEA, we ensure that appropriate safeguards such as European Commission standard contractual clauses are in place.

6. Data retention

Your personal information is only retained for as long as necessary to fulfil the purposes for which it was collected. This includes complying with applicable legal, regulatory, tax, accounting, or reporting obligations. In certain cases, such as a possibility of legal proceedings, we may retain your data for a longer period. To determine the appropriate data retention period, we take into account several factors, including the volume, nature, and sensitivity of the data, the potential risk of unauthorised use or exposure, the purposes of processing, and whether those purposes can be met by other means. We also consider any legal or regulatory retention requirements relevant to the type of data. Where the processing purpose is no longer applicable, or if a retention period expired, personal information is routinely removed from our systems in accordance with regulatory requirements.

7. Your rights

In accordance with the data protection law, when we process your personal data you have certain rights that we need to inform you about.

  • The right to information / transparency: You have the right to know who is processing your data, what categories of data are used and why (Art. 12, 13 and 14 GDPR). You may request a confirmation as to whether or not personal information related to you is being processed.
  • The right of access: You have the right to request access to your personal information (Art. 15 GDPR). You can exercise this right free of charge in most cases by making an access request in writing.
  • The right to rectification: You have the right to have information rectified without undue delay, if your personal information is inaccurate and/or incomplete (Art. 16 and 19 GDPR).
  • The right to erasure (‘right to be forgotten’): You have the right to have your personal data erased under specific conditions, such as where your data is no longer necessary, you have withdrawn your consent or your data has been unlawfully processed (Art. 17 and 19 GDPR).
  • The right to restriction of processing: You have the right to request a restriction of processing where the accuracy of your personal data is contested, the processing is unlawful or we no longer need the personal data for the purposes of the processing (Art. 18 and 19 GDPR).
  • The right to data portability: You have the right to receive your personal data in a structured, commonly used and machine-readable format, or to have your data directly transmitted to another data controller where technically feasible (Art. 20 GDPR).
  • The right to object: You have the right to object to processing of your data provided that this is not contrary to public interests (Art. 21 GDPR).
  • The right to human intervention: You have the right to object where a decision is based solely on automated processing, including profiling, which produces legal effects concerning you or significantly affects you (Art. 22 GDPR). Note that our company does not carry out any automated processing of data to provide our website service.

We will reply to any request of yours for the exercise of your above rights within one month of receipt. This time limit may be extended by a further two months, if necessary and at our discretion, taking into account the complexity of your request and the number of requests we handle at the same time. You may also contact the supervisory authority at your place of residence or at our place of company registration to file a formal complaint at any time.

8. Revisions and references

We reserve the right to amend this data protection statement so that it always complies with current legal requirements or to implement changes to our services in the privacy policy, e.g. when introducing new services. Your next visit will be subject to the new data protection statement.

Our website may contain links to other websites. Please note that we have no control over websites outside of our domain. If you provide information to a website to which we link, we are not responsible for its protection and privacy policies.
